Once students have received and accepted an offer for a visiting clerkship, they need to do the following:
- Mail the required $225 processing fee for each accepted rotation. Please note that you will not be confirmed or registered for the rotation until this fee is received. Upload receipt of payment to VSLO.
- Complete post-decision requirements, including the Visiting Student Demographic Form. Upload this to VSLO.
- Transportation: Tulane provides a shuttle that makes stops at Tulane Hospital, UMCNO, the VA Hospital and the Murphy Building. This area is also served during "off hours" by Tulane TapRide, an on-demand shared ride service (with a limited area). Riders do need to show a valid Tulane ID. More information about Tulane's Shuttles & Transportation system can be found on their website. Parking arrangements at the school must be made in advance. Contact Tulane Parking Services Office (phone: 504-988-5577). Visiting students are responsible for making their own arrangements and for the cost of parking
- Review Tulane's needlestick policy: Tulane University School of Medicine Blood Borne Pathogen Policy. If you should experience a needlestick during your visiting rotation, please seek emergency medical care and contact your home institution about further steps. Some IMPORTANT needlestick reminders:
- Wear your needlestick cards at all times in every clinical setting.
- If you lose your needlestick card, pick up a new one in the Office of Admissions and Student Affairs (Murphy Building, suite 1550, 15th floor, 9am – 4pm).
- Follow directions on the card for emergency steps in the event of an exposure.
- Immediately seek treatment in the ER. Make sure you are triaged to the front since time is of the essence.
- In the event of exposure, see detailed instructions at https://campushealth.tulane.edu/emergency/bloodborne-pathogens including a link to student AND supervisor AND provider checklists for pursuing treatment and follow-up. - In the best possible situation during Campus Health operating hours, Tulane students should seek all care through Tulane’s Student Health Center, which is the cheapest and most administratively efficient option. Students who have sought immediate/emergency treatment elsewhere should still contact the Student Health Center for follow-up care, reminders, etc.: contact them as soon as possible after your emergency treatment.
- Students who seek treatment somewhere OTHER than the Student Health Center MUST still submit all treatment charges through their own insurance. When you are seeking treatment, please remember that you are a student, not an employee. Therefore, all treatment must go through your health insurance. You are not eligible for workman’s compensation because you are not considered an employee.
- Students who experience a bodily-fluid exposure must take immediate action with all exposure-related treatment bills! Students with T-SHIP should contact Student Health at 504.988.6929 for help with student insurance.
- If you experience an exposure at an away site, follow the directions for immediate treatment (again, you will not be eligible for workman’s compensation, so please give them your insurance card and stress that you are a student and not an employee). Let your away clerkship coordinator know as soon as possible, contact Tulane’s Student Health Center as soon as possible for guidance and for long-term follow up.

You may also want to familiarize yourself with Tulane University's Emergency Preparedness website, particularly if you will be visiting during Hurricane Season (June through November).

7. Please note: Visiting students will not be provided medical records training or access. Please be assured that you will still learn a lot from your visiting rotation!
8. When you arrive, you will need to obtain an ID card. ID cards WILL NOT be available until the first Monday of your rotation. To do so, please go to the Tidewater Building, 8th Floor, Room 802. Card Services is open Mon.-Fri., 8:30 AM-4:00 PM, with a lunch closure from 12:00 PM-1:00 PM daily. They are not open on the weekends, so please plan accordingly. You will need to provide a driver's license, state or military ID, or passport, and explain to them that you are a visiting student. Your SplashCard will be your Tulane ID for the extent of your stay with us. Your department will need to authorize your access to the hospital after your receive your ID. To do so, please complete the Badge Access Form, and provide it to your department AFTER getting your SplashCard.
9. Check your Tulane email regularly.
